Alpha Schools isn’t your typical educational institution. With a mission to help kids “learn twice as much in half the time,” Alpha frees up the rest of the school day for students to pursue their passions. Here, guides replace traditional teachers, focusing on motivating students through independent learning and helping them discover what truly excites them.
This philosophy extends beyond the classroom into Alpha Quest, the school’s after-school program. Alpha Quest is where the magic happens after hours. A place where kids dive into robotics, coding, cooking in Spanish, art, crocheting, and more.
“It’s kind of like the school day packed into two hours, but we take away the learning aspect,” explains Gabbi, who leads Alpha Quest. “They’re not sitting there doing traditional academic subjects. Instead, they may be doing robotics, coding, cooking in Spanish, some type of art project, or crocheting.”
Alpha Quest isn’t just for Alpha students. It’s open to the entire community, welcoming children from other schools and even those not yet in school. This openness brings diversity, energy, and a sense of shared discovery. However, it also presented a challenge.
From Chaos to Clarity: The Pre-AfterSchool HQ Era
Before partnering with AfterSchool HQ, Alpha Quest’s operations were, in Gabbi’s words, “chaos.” There was no formal system for registration, payment, or attendance tracking.
“It seemed like it was all almost done on a notes app on the staff’s phone, like trying to see what kid is supposed to be in what group, or ‘you did this last week, and I need to do this this week.’ So it just kind of seemed overall like a nightmare.”
The lack of structure made it difficult to expand the program to the broader community, as there was no easy way to know:

One of the most transformative features was the introduction of attendance-based billing and subscription management. Families could choose between daily attendance-based billing or monthly subscriptions, accommodating a wide range of schedules and interests.
“For the daily platform, it’s almost autonomous in the way that as soon as you’ve marked that a child is present that day, the parent gets charged the fee. And then for our monthly subscription, it’s automatic. So on the first of every month, they get charged the fee”.
If a child missed a session, refunds were simple and transparent. “Having it work both ways, and having it be very autonomous, in my opinion, is awesome. It’s incredible,” Gabbi says.
Effortless Attendance and Engagement Tracking
AfterSchool HQ became the all-in-one tool for tracking attendance and registration. Staff could easily mark attendance, and parents could track their child’s participation. Alpha Quest even uses attendance data to reward students with “school currency” for participation and achievement. Staff can simply select a date and see a full list of attendees to determine who earned school currency.
Boosting Family Engagement
With AfterSchool HQ, Alpha Quest saw a dramatic increase in family engagement. The platform’s profile page became the program’s de facto website, complete with photos, schedules, costs, and even YouTube highlights. “From a parent and family perspective, it’s a useful tool because you’re not having to log in to all these different platforms to find what you’re looking for, or make a payment, or update a registration,” Gabbi notes.
The built-in survey feature was an unexpected bonus. “It was an unexpected surprise in the best way,” Gabbi says. Surveys are now sent out at the end of every session to gather feedback from families, streamlining a process that previously required building separate forms and tracking responses manually.

Alpha Quest’s activity schedule is a testament to the program’s commitment to exploration and growth. Each week, students can choose from a wide variety of activities:

Each activity is designed to push students out of their comfort zones, build confidence, and foster a love of learning. “We designed Alpha Quest to give students the chance to explore new passions, try out things they maybe haven’t thought of before, and also grow in their confidence,” Gabbi says.

We like to say we’re flexible, we pivot very quickly, and we love to innovate. I feel like AfterSchool HQ fits that mindset perfectly,” Gabbi explains. “No matter what curveball we throw at the team, they’re more than willing to tackle it—and very often, it’s within 24 hours. It happens so fast. So, it’s awesome.”
