On Kansas City’s east side, the Hope Center has traditionally been a hub for young people and families seeking support, growth, and community. Its programs extend beyond just after-school activities: they provide free meals, leadership training for K–12 students, Bible studies for fathers, “Parents as Partners” meetings, and major community events like Juneteenth, which recently attracted nearly 1,000 attendees.

As Titus Brooks, Director of Operations, explains, “All of our programs are free. Every time kids come, they get a meal. And we’re just as committed to serving parents and families as we are the youth.”

It’s a holistic model of community impact—but behind the scenes, managing that impact wasn’t always easy.

Paperwork Pains

Before they started using AfterSchool HQ, the Hope Center was feeling overwhelmed with all the binders. Titus recalls that they had registration packets that varied from five to eight pages long. Keeping parents’ information and emergency contacts updated was a constant challenge, especially with so many binders to manage. Plus, they needed to print new attendance sheets every week, which added up to quite a bit of paper and expense.

For Program Administrator Allison Davidson, the manual process meant that most of her time was spent on paperwork instead of with families. Her role as the primary contact for registrations required sorting through stacks of forms, which left little time to build relationships with parents at the start of each year.

As the program grew, so did the binders—and the burden. Something had to change.

A Digital Shift with AfterSchool HQ

When the Hope Center made the move to AfterSchool HQ, the transition was smooth and quick, happening right away:

“The ease of use is the biggest difference,” Titus said. “What used to take me 30 minutes, like counting attendance across programs, now takes seconds. I just log in, check who was here, and I’m done. Getting my time back was huge.”

Attendance tracking went from a tedious chore to a task that took seconds, and re-enrollment, once a dreaded annual process, became a quick update for parents.

“It’s a sigh of relief for families,” Titus noted. “Instead of filling out packets every year, they just update phone numbers or addresses and they’re done. That makes a big difference.”

Clear Data, Stronger Communication

The impact extended beyond staff efficiency, resulting in more consistent and effective communication with families. Previously, reliance on group texts meant not all parents were included, leading to some children missing out on events. With AfterSchool HQ, enrollment automatically connects families, which has improved attendance at programs and events by ensuring families receive all necessary information.

The platform’s reporting features also changed how the Hope Center demonstrates impact:

“When writing grants, we can provide better, more accurate numbers,” Titus explained. “Whether it’s registrations by zip code, grade, or gender, the information is right there. Reporting that used to take hours now takes minutes.”

Relationships at the Center

Most importantly, AfterSchool HQ has given the team extra time to truly concentrate on what really matters: building strong relationships.

In their line of work, time is very important. If something happens to a kid, they can quickly find a parent contact or an emergency contact instead of flipping through a binder. That speed matters in urgent situations. Beyond that, it frees up time to spend more with kids and families, building connections.

The digital platform also helped the Hope Center walk alongside grandparents and other older caregivers who sometimes struggled with paperwork. The simplicity of the design meant staff could sit with families, guide them through registration, and build trust in the process.

“It’s not just about getting them enrolled,” Titus reflected. “It’s about improving their confidence with digital tools. We’re helping them feel comfortable receiving text updates or emails. That strengthens our relationships and their connection to the program.”

QR Codes and Accessibility

One small feature made a big difference: QR codes. These codes are placed at schools, the YMCA, and even where interns gather on Fridays. Parents can scan and register on the spot, making the process quick and simple. This approach has significantly improved accessibility by eliminating concerns about running out of forms.

A True Partnership

For Titus, the value of AfterSchool HQ is more than just the software—it’s the support behind it: “Customer service makes a huge difference,” he emphasized. “Every time we email, we get a response the same day or next day. You listen to our ideas—like kiosk mode—and sometimes you’re already working on them. That partnership has been great.”

Advice to Other Programs

Titus emphasized the value of AfterSchool HQ, acknowledging that while there is a cost involved, the time saved is invaluable. Tasks that once took 30 minutes now only take seconds, leading to more engaged families. Staff are able to concentrate on building relationships rather than managing paperwork, and onboarding new staff is simplified to prevent anything from falling through the cracks.

He added, “You’re not just investing in software—you’re investing in your staff’s capacity and the families you serve. That’s what makes it worth it.”

The Bigger Picture

The Hope Center’s story is a wonderful example of what can happen when a dedicated community program is equipped with the right tools. Rather than being bogged down by binders and endless paperwork, their team is able to concentrate on what truly matters: supporting students, families, and the entire community.

As Titus put it best: “AfterSchool HQ makes it possible for us to be more present with our kids and families—and that’s what it’s all about.”
